Your mission
Are you a master of logistics with a knack for top-tier customer service? At HIAB, we are looking for a proactive and organized Service Coordinator. In this pivotal role, you won't just be managing schedules; you’ll be driving the success of our Service, Repair, and Installation activities from inception to completion. You will be the bridge between our customers, partners, and internal teams.
This position will be based in Melbourne, Australia.
Key responsibilities
Operational Coordination & Administration

End-to-End Job Management: Oversee the full lifecycle of service and installation tasks, including job raising, parts allocation, and meticulous record-keeping.

Workflow Optimization: Maintain the Service and Installation Planner, proactively identify and resolve potential scheduling conflicts.

Inventory Oversight: Collaborate with Service Management to monitor consumable orders and maintain optimal stock levels.

Work-in-Progress (WIP) Control: Actively manage WIP for your designated area to ensure tasks move swiftly from initiation to completion.
Financial Stewardship & Revenue Growth

Revenue Contribution: Drive departmental success through accurate quote generation, efficient job management, and prompt invoicing.

Financial Administration: Manage purchase orders (POs) and vendor/debtor setups in strict accordance with company guidelines.

Efficiency Monitoring: Partner with leadership to ensure labor utilization rates and operational costs remain aligned with company benchmarks.
Stakeholder Engagement & Communication

Relationship Management: Act as a primary point of contact for dealers, customers, and internal stakeholders, building long-term professional partnerships.

Proactive Reporting: Provide regular, transparent updates to clients regarding job progress, expected completion timelines, and any technical hurdles.

Asset Care: Ensure the highest level of security and care for customer property and company assets (mobile devices, materials, etc.) under your control.
Systems & Technology

Digital Proficiency: Navigate and maintain data integrity within Hiab’s core ecosystems, including SAP, SMS, and Basware.
What we are looking for
Education & Experience: Foundational Education: High School Certificate or equivalent qualification.
At least 2+ years of experience in a similar coordination, service, or administrative role.
Industry Advantage: Prior experience within the industrial, logistics, or heavy machinery sectors will be highly regarded.
Systems Expertise: Proficiency in SAP or similar ERP environments is a significant advantage.
Project & Time Management: Ability to manage multiple service activities simultaneously, ensuring deadlines are met and resources are optimized.
Financial Literacy: Sound analytical and numeracy skills, with the ability to handle invoicing, quotes, and purchase orders accurately.
Digital Proficiency: Highly computer literate with the ability to quickly master internal platforms (SAP, Basware, SMS).
Negotiation & Problem Solving: Strong negotiation skills to navigate scheduling conflicts and supplier requirements effectively.
Stakeholder Management: Exceptional interpersonal skills with the ability to communicate professionally with customers, dealers, and internal management.
Articulate Communication: Strong written and verbal communication skills for providing clear job updates and professional quotations.
