Travel and Expense Manager

We're looking for a passionate and driven Travel and Expense Manager to shape and enhance Hiab’s global travel and expense management program. The role is responsible for ensuring compliant and cost-effective travel management, enabling safe travel for business while providing excellent service to Hiab’s employees and various stakeholders across the organization.

Purpose of the Role

As the Travel and Expense Manager, you will drive our global T&E strategy, manage key vendor relationships, deploy system solutions, and lead a high-performing team. You will play a key role in enhancing operational efficiency, ensuring policy compliance, and delivering insights through reporting and analysis. 

KEY RESPONSIBILITIES:

Travel Program & Expense Management

• Own and oversee all travel and expense-related processes globally
• Design and manage Hiab's travel management program and policies
• Lead the implementation of global booking and expense management solutions
• Ensure policy compliance and operational efficiency
• Manage relationships with global travel vendors and other solution providers

Reporting & Performance Improvement

• Deliver robust reporting and KPI analysis for travel activities
• Monitor SLAs and implement improvements based on data and feedback
• Maintain and update travel-related documentation and knowledge base

Communication & Training

• Develop and deliver employee communications on travel programs
• Create training materials and conduct stakeholder sessions
• Maintain travel-related content on the intranet and distribute policy updates
• Act as chair for Travel Forums and liaison for local travel contacts

Stakeholder Support

• Provide hands-on support to travelers and internal departments
• Resolve travel issues and ensure excellent customer service
• Support travelers in emergency or incident scenarios

Team Leadership

• Lead a global Travel & Expense team, ensuring high-quality service delivery
• Coach and develop team members to meet strategic and operational goals

Key Collaborators
Internal: Finance, HR, IM, Sourcing, Business Divisions
External: Travel and expense management tool providers, and other solutions suppliers globally

WHAT YOU''LL NEED TO SUCCEED:

Education & Experience

• Bachelor's or Master's degree in Business, Travel, Economics, or related field
• 5+ years of senior experience in international T&E management
• Proven expertise in vendor negotiations and global travel program deployment
• Strong team leadership experience with measurable results

• Strong analytical and program management capabilities
• Excellent interpersonal, communication, and influencing skills
• Results-driven with a continuous improvement mindset
• Proficient in travel management software and tools
• Ability to manage multiple projects and meet deadlines
• Fluent in English (written and spoken)
• Ability to travel as needed
• Collaborative, customer-centric, and safety-oriented
