Your mission
As a Senior Warranty Specialist, you will perform claim and warranty administration, managing the parts return process, evaluation, sub-supplier claiming, and problem resolutions. Your main priority is to serve our customers to secure up-time and ensure the organization receives fast feedback for continuous improvement. In this role, you will take responsibility for operations beyond standard specialist tasks, using your experience to look at processes with a fresh eye. You will focus on improving the quality of cooperation, developing internal tools, and ensuring effective data sharing within the organization.
Key responsibilities
- End-to-End Claims Management: Processing warranty claims, including supplier reclaiming, parts returns, accounting, invoicing, and feedback coordination between distributors and factories.
- Technical Liaison: Maintaining constant contact with the technical support team to disseminate information, provide advice, and share feedback from processed claims.
- Analytical Insights: Conducting trend analysis for warranty claims and costs, providing monthly reporting, and following up on corrective actions.
- Process Improvement: Developing and implementing new solutions to monitor warranty data and leading discussions regarding technical problems reported by customers.
- Stakeholder Support: Preparing ad-hoc statistics and analysis for quality, management, and sourcing departments to support data-driven decision-making.
- Documentation & Training: Coordinating the administration of service letters and conducting specialized warranty training for service centers and importers.
- Project Participation: Leading the follow-up of high-cost claims and participating in global projects focused on internal system development and warranty cost reduction.
- System Administration: Acting as a key contact person for warranty-related IT systems and ensuring work codes and internal data remain up to date.
- Safety & Compliance: Ensuring all activities comply with corporate regulations, health and safety procedures, and maintaining high standards of documentation.
What we are looking for
Experience & Education
- Professional Background: Relevant experience in a similar role, specifically working with warranty management, quality issues, or supplier claims.
- Education: Degree in a Technical or Financial field (an academic degree is a significant advantage).
- Industry Knowledge: Understanding of basic supply chain and logistics. Previous experience with continuous improvement methodologies (Six-Sigma, Lean, 8D, or APQP) is highly advantageous.

- Technical Proficiency: Strong computer skills, particularly in SAP and common office applications.
- Process Mastery: A process-oriented mindset with the ability to understand complex products and diverse product lines.
- Business Acumen: Deep understanding of customer needs and a cross-cultural competence that allows you to work effectively in a global environment.
- Autonomy: The ability to work independently and make decisive judgments within your scope of responsibility.
Language Skills & Certificates
- Languages: Excellent command of English (both written and spoken) is required. Proficiency in Polish is a strong asset ("nice to have"). Knowledge of other languages like Spanish or Swedish would be a plus.
- Certifications: A Green Belt certification is highly desirable.
